Help with Reservations, Ordering, Confirmation and Payment
We want you to be able to make enquiries, confirm your requirements, make payment and use our facilities in the most convenient way possible. Because we offer a wide range of activities, goods and services the procedure involved is not always the same. These notes are intended to provide you with help and guidance.
Process
The process from the initial enquiry to completion involves a number of steps, some of which are optional depending on what you want, whether we can supply it and how much notice you give.

Step 1: Making Your Enquiry (You)
The first step is for you to make an enquiry, letting us know what you would like us to provide. This can be done by completing and submitting one of the enquiry forms on this website. Enquiries can also be made by e-mail, telephoning, writing or in person at the Park Centre. The enquiry forms currently available here are:

Required Details
So that we can respond to you, we need to have some information including your name, address, phone number and e-mail address. Fields that are required are marked * and the form will not be accepted unless all of these fields are completed. If you do not have e-mail address or a phone, you can enter "none", but we will then be unable to contact you by e-mail or phone. If the form is not accepted, return to it, complete the missing fields and re-submit the form.
Accepting Our conditions
Many of the activities and services that we offer are subject to conditions. These conditions are there to protect us and you and to ensure that you are clear about what is required and what is not permitted. Where simple conditions apply they are listed at the top of the form. Where relevant, additional terms and conditions are contained on a separate page, linked to the form. You are responsible for reading these conditions and accepting them. Most of the forms require you to tick a box confirming that you have done this. If the box is not ticked, the form will not be accepted - return to the form, read the conditions, tick the box and re-submit the form.
Successful Enquiry
You will know that your enquiry has been successfully sent to Beecraigs for action by us when you receive a "Thanks" page. If you don't receive the "Thanks" page then we have not received your enquiry.
Step 2 (optional): Agreeing Your Requirements (Beecraigs and You)
On receipt of your enquiry Beecraigs staff will see if what you require can be provided when you want it. If this is not possible or if your enquiry is not sufficiently clear we will contact you (by e-mail, phone or letter - depending on how you made your enquiry) to clarify what you want, and let you know what we are able to offer. At the end of this process both parties should have a clear understanding of exactly what is required and whether or not we can provide it.
Step 3: Beecraigs' Offer (Beecraigs)
If your requirements are clear and we can meet them, we will make you an offer. The item on offer will be provisionally reserved for you for 24 hours. The offer will normally be made by e-mail and will remain valid for acceptance for 24 hours. It is your responsibility to check your incoming e-mail frequently so that you do not miss any offer we may make.
If Beecraigs is Unable to Meet Your Requirements
If we can't meet your requirements (e.g. because all our facilities are booked on the date you want them, or all the places on an activity are already taken up, or we don't have the item that you require) then we will let you know.
If you do not confirm (or pay) within 24 hours
If you don't confirm acceptance of the offer (or make payment, which automatically assumes acceptance) then the offer will expire. The provisional reservation will be released and the goods/service/activity may be offered to another user.
Step 4 (conditional): Confirmation (You)
If you want to proceed, you must confirm acceptance of the offer within 24 hours of the time when the offer was made (note that it may be a while after the offer was made before you looked at your e-mail). Confirmation can be made by e-mail, phone or in person but not by mail, as this does not allow for the offer to accepted within its 24 hour validity. If you do not accept an offer within 24 hours it may lapse (see above).
Automatic Confirmation by payment
You can proceed directly to the payment step. If you pay it is assumed that you are accepting the offer and no further confirmation is required.
Step 5: Payment (You)
The offer e-mail will include the amount due, the booking reference and details of how you can pay. If you made your booking more than 14 days in advance then you can accept the offer and pay later. Payment can be made by cheque (by post or in person), in cash (in person at the Park Centre) or by credit/debit card (on-line, by phone or in person). Payment must be received within 14 days of the date of hire/activity/delivery.
If there is less than 14 days remaining, you must pay immediately on-line or by phone using a credit/debit card.
On-line Payment
The West Lothian Council Online Payment System is operated through World Pay. You will have been given a Reservation Number as part of the offer and a link to West Lothian Council's payment system https://olp.westlothian.gov.uk/payments2/services.asp . To make payment you must follow this link (Note that the Payments system is also available from West Lothian Online http://www.wlonline.org.uk/ select "Make A Payment" from the main menu and follow the prompts).
When you are in the Payments System opening page, select "Beecraigs" and then make sure that you include the Booking Reference and pay the amount due as stated on the Offer.
When your payment has been accepted by World Pay you will receive confirmation. This is your receipt and you should keep it, bringing it with you when you come for your service/activity/goods.
Step 6 (optional): Feedback (You)
